HR Automate Pty Ltd ACN 696 561 298 (we, us, our) is committed to protecting your personal information and complying with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This Privacy Policy explains how we collect, use, store, disclose and protect personal information when you use our Website (hrautomate.au) and our Services.

2. What information we collect

Information you provide

  • Name, email address, phone number and business name when you sign up, contact us, or subscribe;
  • Account credentials (username and a securely hashed password);
  • Billing and payment information (handled by our payment processor — see clause 5);
  • Information you submit when contacting us, completing forms, or requesting consulting services.

Information collected automatically

  • IP address, browser type, device type, operating system;
  • Pages visited, referring URLs, time spent and other usage data;
  • Cookies and similar tracking technologies (see clause 8).

We do not operate as an HR CRM. We do not collect or store personal information about your employees or third parties through the Services.

3. How we use your information

We use personal information to:

  • Create and manage your account;
  • Provide, maintain and improve the Services;
  • Process payments and manage subscriptions;
  • Communicate with you about your account, the Services, and important updates;
  • Respond to your enquiries and provide customer support;
  • Send marketing communications where you have consented (you can opt out at any time);
  • Comply with legal obligations and enforce our Terms.

4. Legal basis and consent

We collect personal information only where it is reasonably necessary for our functions and activities, or where you have consented. By providing personal information to us, you consent to the collection, use and disclosure of that information as described in this Privacy Policy.

We do not sell your personal information. We may disclose personal information to the following categories of third parties for the purposes described:

  • Payment processors (Stripe and PayPal) — to process subscriptions and payments;
  • Website hosting and technical management (Geoffrey Multimedia) — to host and maintain the Website;
  • Membership platform provider (Ultimate Membership Pro on WordPress) — for account management and content access control;
  • Analytics provider (Google Analytics) — to understand site usage in aggregate;
  • Email service providers — for transactional and (with consent) marketing communications;
  • Our professional advisors (lawyers, accountants) where necessary;
  • Government, regulatory or law enforcement bodies where required by law;
  • A successor entity in the event of a sale, merger or restructure of the business.

We require third-party providers to handle personal information in accordance with applicable privacy laws. A current list of our key service providers is available on request.

6. Overseas disclosure

Some of our service providers may store or process data outside Australia. In particular, our payment processors and analytics provider are based in or process data in the United States. Where this occurs, we take reasonable steps to ensure those providers handle personal information in accordance with the Australian Privacy Principles or substantially similar protections.

7. Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification or disclosure. These steps include secure hosting, encrypted password storage, restricted access controls, and regular software updates.

No system is completely secure. While we work hard to protect your information, we cannot guarantee absolute security.

8. Cookies and analytics

Our Website uses cookies and similar technologies for essential site functionality, to remember your preferences, and to analyse Website traffic via Google Analytics. You can manage cookies through your browser settings, but disabling some cookies may affect Website functionality.

9. Marketing communications

Where you have provided consent, we may send you marketing communications about our Services, new templates, blog content, and HR-related updates. You can unsubscribe at any time using the link in our emails or by contacting info@hrautomate.au.

10. Notifiable Data Breaches

We comply with the Notifiable Data Breaches scheme under Part IIIC of the Privacy Act 1988 (Cth). If we become aware of an eligible data breach that is likely to result in serious harm, we will notify the affected individuals and the Office of the Australian Information Commissioner (OAIC) as soon as practicable, in accordance with our obligations under the scheme.

11. Access, correction and complaints

Under the Australian Privacy Principles you have the right to:

  • Request access to the personal information we hold about you;
  • Request correction of inaccurate or out-of-date information;
  • Make a complaint about how we handle your personal information.

Send any access, correction or complaint request to info@hrautomate.au. We will respond within a reasonable time, generally within 30 days.

If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.

12. Data retention

We retain personal information for as long as your account is active and for a reasonable period afterwards, to comply with legal obligations, resolve disputes, and enforce our agreements. When information is no longer required, we take reasonable steps to delete or de-identify it.

13. Children

The Services are intended for users aged 18 and over. We do not knowingly collect personal information from children. If you believe we hold information about a child, contact us and we will take steps to delete it.

14. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The most current version will be posted on the Website with an updated “Last updated” date.
